We are currently recruiting for a strong Administrator to provide support to a Site Manager and 2 x Project Managers based on a construction site in temporary offices, close to Heathrow Terminal 4. This is a temporary position to start in August for 1 year, potentially longer.

The site office has just been set up and whilst there are some administrative processes in place, there will be the need to implement new and develop some processes and procedures to ensure the administrative function runs smoothly.

Day to day duties will include:

  • Attend site meetings, take minutes, type and distribute and chase up actions points to ensure completed on time
  • Ordering supplies for site and the site office, liaising with suppliers, raising POs and passing invoices to head office for payment
  • General keeping up to date with all filing and reports, logging all documents and amendments to site drawings and ensuring logged, distributed and filed
  • Conducting site inductions, creating passes and relevant health and safety paperwork
  • Liaising with contractors and ensuring all contractors certificates / licenses are valid at all times
  • Diary management for Site Manager and Project managers
  • Meeting and greeting visitors to site, showing to meeting room and providing tea and coffee
  • Ensuring all site office equipment and plant on site are PAT tested in line with site regulations
  • Running reports

This is an administrative role that will evolve as the site develops and the team grows, hours of work normally 8:30 – 5:00pm, however on occasions a 7:30am start may be required, therefore flexibility with working hours is required.

Please note there isn’t car parking, therefore commuting on public transport would be preferable.

We are really looking for an all-round administrator who can generally keep the administrative function running, is flexible, confident, adaptable and willing to roll their sleeves up and get stuck in.
